Billing and Contract Specialist

Wells + Associates, a leading transportation engineering and planning firm, is seeking a highly organized and detail-oriented Billing and Contracts Support Specialist to join our Finance team. This role plays a vital role in assisting with billing processes, contract management, and ensuring accuracy and compliance in all financial transactions. The successful candidate should possess excellent administrative and communication skills and be committed to maintaining efficient billing and contract administration procedures. 



  • Cultivate and nurture strong business relationships with both internal and external customers, offering guidance and support to facilitate accurate and timely billing processes and ensure prompt collection.
  • Thoroughly comprehend basic contract documents concerning billing and revenue. Collaborate with Finance and Project Controller(s) to identify and confirm invoicing requirements. Work closely with the Finance manager to devise project structures that align with billing requirements.
  • Establish and maintain organized billing files, encompassing the base contract, subsequent modifications, invoice copies, reconciliation of revenued vs. billed/unbilled amounts, and all relevant customer correspondence.
  • Review contracts and accurately set up information in Timeslips with a focus on billing. Ensure compliance with Company policies and procedures, and review Certificate of Insurance (COI) requirements to meet guidelines, ordering and distributing as necessary. Verify proper setup of billing requirements specified in the contract.
  • Effectively set up and manage assigned projects in TimeSlips, generating reports based on project requirements and in accordance with the Company’s established roles to ensure accurate revenue recognition.
  • Remit invoices to clients and proactively follow up with collection calls. Confirm receipt of invoices with clients and maintain comprehensive notes in Timeslips regarding receivable status.
  • Continuously evaluate existing processes to identify areas for potential improvement. Actively participate in initiatives aimed at enhancing processes, such as involvement in working groups. Contribute to the company’s initiative to automate all billing procedures through TimeSlips.

Education and Experience

  • BS or BA degree in business, finance, or accounting.
  • Three to six years of experience in billing and contract administration, or similar administrative roles. 
  • Basic understanding of accounting principles. 
  • Strong organizational and attention-to-detail skills. 
  • Excellent written and verbal communication skills. 
  • Ability to work independently and as part of a team. 
  • Familiarity with Microsoft Office Suite, especially Excel.
